A global insurance company was drowning in a growing document volume. We designed an AI co-pilot built on top of their existing Microsoft infrastructure, embedding intelligent automation directly into the tools their teams already used every day.

The client's legal and compliance teams were overwhelmed by policies, contracts, and compliance materials piling up faster than they could review them. Manual processes created bottlenecks, inconsistencies, and rising costs, while their existing platform lacked the intelligence to scale.
After auditing their workflows, we identified that the biggest gains weren't in replacing what they had — but in making it smarter.

Our workflow audit mapped the full document lifecycle across the client's legal and compliance teams. Four bottlenecks stood out:
The conclusion was clear: the infrastructure was already there, but it needed an intelligent layer on top.
To meet the client’s goals without disrupting existing workflows, we chose a modular enhancement approach. Instead of rebuilding the platform from scratch, we developed and integrated new AI-powered features, including semantic search, an intelligent assistant, and an MS Word add-on, as independent modules connected to the client’s existing Azure-based infrastructure.
This strategy allowed for:

01 — Audit
We mapped the client's document workflows and identified where AI would deliver the highest ROI. The audit produced a clear blueprint before a single line of code was written.
02 — Pilot
A fixed-scope build delivered the core co-pilot modules, integrated and live within the client's Microsoft ecosystem.
03 — Retainer
The client runs on a monthly retainer — monitoring performance, expanding automation to new document types, and building out the next phase of the co-pilot roadmap.
We built an AI co-pilot embedded directly into the client's Microsoft ecosystem — modular by design, hosted on Azure, and integrated with the familiar tools. Each component was built to eliminate a specific manual bottleneck: document search, contract redlining, compliance checks, and knowledge retrieval.

We designed the co-pilot's intelligence layer using Azure OpenAI and prompt engineering to deliver smart, secure AI capabilities tailored to legal workflows.
Hybrid Semantic Search
Finds the right policy, clause, or precedent instantly, even when users don't know the exact wording.
Prompt-based AI Assistant
Answers domain-specific questions, summarizes documents, and guides users to the exact contract section they need.
Context-aware Suggestions in MS Word
Recommends edits and standard language based on contract type, reducing redlines and review time.
We structured and centralized the company’s institutional knowledge using Azure services, enabling secure, scalable access to internal documentation.

Implemented a hybrid search experience that combines natural language prompts with smart filters. Users can now intuitively explore content across the knowledge base, improving findability and reducing time spent digging for relevant information.

We built a responsive AI assistant that works alongside legal and compliance teams, capable of:

To ensure quick onboarding, high user adoption, and minimal disruption to existing workflows, we built the solution directly into the client’s existing Microsoft ecosystem:

The co-pilot meets users where they already work. We embedded it directly into Microsoft Word so legal and compliance teams get AI-assisted guidance without switching tools or changing how they work.
AI-Suggested Edits
Suggests changes to minimize redlines and align with internal standards.
Smart Playbooks
Recommends best-practice playbooks based on contract type.
Quick Actions
Users can accept, modify, or dismiss AI edits with a single click.
Guided Review
Smart instructions help users quickly navigate to key contract clauses.

The co-pilot was rolled out in phases — starting with pilot teams to validate workflows, gather feedback, and optimize features before scaling across the full legal and compliance organization.
We provided comprehensive training and documentation at each phase, ensuring teams could integrate the co-pilot into their daily workflows quickly and confidently.
Security and compliance were built into every layer of the solution. All data remained within the client's Azure environment, with access controlled through Azure Active Directory. End-to-end encryption, audit logging, and alignment with internal governance policies ensured the system met strict legal and regulatory standards.

By deploying the AI co-pilot across document search, contract review, and knowledge management, the client's legal team shifted from manual overhead to high-judgment work.

This co-pilot has completely transformed how we manage contracts. Tasks that used to take days now take hours, with AI guiding us through reviews, suggesting edits, and surfacing key information instantly. The OTAKOYI team was incredibly attentive to our needs and helped us shape the most effective solution. Their understanding of both our workflows and technology made a real difference.
