Workwide is a multilingual talent acquisition company helping people find jobs abroad. Before partnering with us, they managed five websites for different countries. As their international presence grew, maintaining and updating these standalone websites became increasingly inefficient. The client sought a more scalable, centralized solution to support their growing business and improve internal workflows. That’s when they turned to us.

When we began the project, the client had 5 recruitment websites. Through close collaboration and a unified technical approach, we transitioned them to a multi-site architecture. This allowed us to expand to 8 country-specific job portals, all managed from one place, with shared components, faster updates, and consistent UX.
Initially, another agency handled the design while we focused on development. However, being the total perfectionists, we identified key issues limiting the platform’s growth:
We led a redesign prioritizing consistency—refining components, establishing clear UI patterns, and unifying the product’s structure. By integrating UX improvements like FOMO-driven elements to boost conversions, we delivered not only a polished interface but a flexible design system that accelerated development and simplified future scaling.
Based on the client's needs, our designers developed not just UX enhancements, but also SEO optimization, creating dynamic content pages targeting common user search queries.

With over 70% of users accessing the platform via mobile, we adopted a Mobile First approach, like traditional responsive design workflows. We ensured an intuitive, fast, and app-like interface that works seamlessly across all devices.
The client initially ran multiple standalone WordPress sites, which couldn’t keep up with the client’s growth. It was plugin-dependent and hard to customize, grew slow and unstable under higher traffic, required separate management for each site, and turned every new feature into a time-consuming workaround.
We chose Laravel to replace the limitations of WordPress:
Unlike WordPress, Laravel is a full-fledged framework that allows building complex business logic without being constrained by plugins.
Using Laravel Backpack as a base, we built a powerful multi-tenant admin panel.
As the platform grew from 5 to 8 recruitment portals, Laravel’s architecture ensured we could scale without re-platforming.
We built a custom multi-tenant admin panel on Laravel Backpack that serves as the command center for all 8 recruitment portals.
Beyond simple sync, the platform acts as an orchestrator, keeping data consistent across multiple sites, job boards, and partners. It connects directly to the client’s CRM through two-way synchronization, so job postings flow out from the CRM to the sites, while candidate applications and interview data flow back in, removing repetitive manual steps.
Moreover, the admin panel prioritizes client autonomy with minimal hardcoding and maximum flexibility. Clients can independently update visuals and copy, create pages from templates, and manage navigation and footer elements, no dev team required.

Zoho Recruit is a global CRM solution designed specifically for hiring processes, making it the central workspace for recruiters.
On our platform, Zoho is fully integrated through two-way synchronization. Recruiters create vacancies directly in Zoho and select which of the 8 country sites should display them. The system then automatically publishes the job postings to the chosen portals, no manual work required. When candidates apply on the sites, their applications are pushed back into Zoho with all details intact, where recruiters can manage screening, communication, and interviews.

We migrated the platform from Amazon Elastic Container Service to Amazon Elastic Kubernetes Service, creating a cloud infrastructure that is both more cost-efficient and technically flexible.
All sites are designed to handle high traffic and heavy media (large images, GIFs, videos, graphics) without compromising speed.
After detecting high drop-off rates during the application process, we reimagined the form and overall application journey. The redesign simplified the user flow, significantly reduced drop-offs, and kept candidates engaged from start to finish.
We provide continuous support and maintenance to ensure the platform runs smoothly and efficiently. This includes regular updates, bug fixes, and the addition of new features to keep the system up-to-date and aligned with evolving user needs.
They have a huge amount of talent and in-depth technical knowledge. We have now successfully launched our website and we see improvements across board, new account signups are coming in stronger than expected and we're ready to scale up our product development on this new platform we've built together with OTAKOYI
To further refine lead quality, we implemented automated qualification logic. Each job posting is tied to a set of pre-defined criteria. If a candidate meets all of them, they are labeled as "qualified" and prompted to move forward. If they don’t, they are placed in a lower-priority segment, preventing unqualified leads from overwhelming the recruitment team.

Recruiters can tailor each job listing with unique screening questions, which makes the pre-selection process more relevant and efficient.

The system is connected to third-party organizations and government job portals in Sweden and Denmark, allowing vacancies to be automatically published on official external sites and broadening candidate reach.
Integrated external tools like Zoho, Calendly, and Trengo with two-way sync. This streamlined workflows, reduced manual tasks, and increased operational efficiency, expanding platform functionality to support business growth.

Integrated advertising opportunities to create additional platform monetization, while also highlighting useful services for users, such as accommodation options or English courses, improving engagement and value.

Simon Nilsson, the Workwide Group Co-Founder, joined our CEO Serhiy Lavrynenko on the RealTalk Podcast to share insights from his journey. He spoke about building a global multilingual hiring platform, overcoming challenges during the pandemic, navigating talent shortages, expanding abroad, and collaboration between OTAKOYI and Workwide Group.
